How to Split Group Trip Costs Fairly (Without the Awkward Math)

A simple way to track who paid for what on a group trip and settle up fairly at the end, with fewer money conversations.

Group trips are the best, until someone has to work out who owes whom. With a little structure, settling up takes minutes instead of a tense group chat.

Agree on the budget first

Before anyone books, agree on a rough budget range for the trip. It's much easier to talk about money before plans are made than after.

Decide what's shared

Most groups share the big costs (lodging, groceries, fuel, a group dinner) and pay for personal extras themselves. Agree on what counts as shared before the trip starts.

Record every shared expense

For each shared cost, write down:

  • What it was
  • How much it cost
  • Who paid

One person can keep the list, or everyone can add their own. Receipts help, but the list is what matters.

Work out each person's fair share

Add up all shared costs and divide by the number of people splitting them. That's each person's fair share.

Settle up

Compare what each person paid with their fair share:

  1. If someone paid more than their share, they're owed the difference.
  2. If someone paid less, they owe the difference.
  3. Match people who owe with people who are owed, using as few transfers as possible.

Settle soon

Settle within a few days of getting home, while everything is fresh. Then go back to enjoying the photos.

Our Weekend Getaway Planner does the cost splitting for you: it shows who paid, each person's fair share and who owes whom, for up to 8 travelers, plus a weekend plan, budget and packing list.

Want the math done for you? The Weekend Getaway Planner Spreadsheet, Travel Planner Bundle do the totals, charts and tracking for you.
